Selling & Transferring Gift Cards

SELLING A GIFT CARD from the ADMIN side

In the Shopping Cart – Select the Client who is PAYING (the person needs an account in your system!)

If the client knows who the gift card is going to, and they are already in the FSM system, you can also select the student at this time.The card will NOT transfer to the student when purchased, you will still have to transfer it (so a gift surprise isn’t ruined) it just saves a step later.

Select the gift card you wish to purchase

An activation window will open.
– You can type a custom code here or you can leave it and the system will create one
– Today’s date will automatically be filled in. You can also set a date in the future if the person isn’t being given the gift card for a long period of time.

After clicking add to cart you’ll now see the gift card in the shopping cart on the left

IMPORTANT!!!!!! ONLY ONE GIFT CARD CAN BE PURCHASED AT A TIME.
In order to generate a code, each gift card purchased must be a separate transaction.

DO NOT DISCOUNT A GIFT CARD in the shopping cart. If you discount a gift card in the admin shopping cart, the amount paid WILL be the amount of the gift card. Example: a $25 gift card discounted $20 in the shopping cart will be a $5 gift card after check out.

Click “Proceed To Checkout”
– The student name will be at the top if you selected a specific person, but the client is still the one being charged and the student is not being notified.

Select your payment type and process the transaction.
IMPORTANT!!!!! Gift cards CANNOT be purchased on ACCOUNT. Only Card, Cash, Check and Other work when purchasing a gift card.After the transaction is completed you’ll be brought to the client profile and see the gift card is now in their gift card tab.

EDITING A GIFT CARD

At any time you can edit who the gift card is FOR or the activation date.

Go the the purchaser’s profile and the gift card tab.
Here you will see a list of all gift cards they have purchasedIn this list a gift card has the pencil icon, ownership of the gift card still resides with the person who purchased it and can be edited form their account.
– The package icon indicated the gift card still be transferred
– If no icons are under the action column, the gift card ownership is now with
someone else.

Click the pencil icon to edit the gift cardYou are not able to edit the amount as it was already purchased.

You are able to edit the card code, but this is not recommended. You don’t want to create easy codes that could question the integrity of the card redemption.

Edit the activation or expiration date as needed.

Edit “for member” to list WHO this card is going to go to. This does NOT notify the person.

TRANSFERRING A GIFT CARD

The gift card will sit on the purchaser’s account until the student enters the code to claim it OR you manually transfer it.

Go to the purchaser’s profile and the gift card tab to see the list of available gift cards to transfer.

Only gift cards with the package icon under the action column are available for transfer.Check that the person listed for transfer is correct by looking at the “for member” column.

Click the package and the warning label will pop upClick “confirm” and the gift card will now show up on the member’s account for use.

IMPORTANT!!!!! Make sure to wait for this step until the person receiving the gift card is supposed to know!

Gift Card Finance Tab

All gift cards purchased can be found under the Finance ⇾ Gift Card tab.

Note – if you do not have this tab available under finance you need to turn
it on in group permissions!

 

 

 

The filter options will help you find cards that are active and waiting to be transferred, outstanding, used, Etc. The ability to transfer and edit is also available from this tab.
